Axtell Team Meets The Challenge!
When asked to produce a top flight event for Emory Healthcare at the Coca-Cola Museum in Atlanta, Axtell veteran, Dianne McGarey, responded in the affirmative! “We wanted this to be a magical evening for the doctors and their wives” said McGarey.
The biggest up-front challenge had to do with the 1200 people attending versus the number who could actually be admitted upon arrival. The Museum experience begins in a 250-seat theatre for a 10-minute viewing of a fun and entertaining film.
We had to make provisions for those who could not get in immediately upon arrival; so our plans included a 40’ x 80’ registration tent on the front lawn which was constructed with carpeted flooring and fully furnished with cocktail seating, passed hors d’oeuvres, triple bar, entertainment, and flowers throughout. This provided a great place for the guests to network during the first hour pending admittance into the museum.
The second challenge had to do with a short set-up time due to public viewing until 5:00pm with the event starting at 6:30! A very specific set-up timeline was sent out to all vendors in advance and they were requested to be on time in spite of traffic or weather. The museum is built on multiple levels, so alternative entrances were utilized to load in smaller items while the main loading dock was reserved for furniture and catering.
The third challenge came on the day of the event when lightening and thunderstorms raged through the downtown Atlanta area. For 90 minutes there was a swarm of activity to set up tables, chairs, catering, entertainers, linens and centerpieces. Miraculously, everything was ready by the time the first group of 250 emerged from the theatre to be greeted by the famous Coca-Cola polar bear. We took advantage of the nooks and crannies throughout the museum to expand on our “Global” theme for the evening. The eclectic group of entertainers ranged from African and Spanish Dancers to a Steel Drum Band.
